Position overview

We are looking for a highly proactive Executive Assistant to work directly with Tana’s CEO and act as a true force multiplier. This role goes well beyond traditional executive support and focuses heavily on organising and managing the CEO’s personal priorities alongside professional ones. You will own scheduling, communications, travel, and logistics end to end, while also managing information flow, research, and coordination across a wide range of topics. You will proactively surface updates and insights, keep systems and follow ups on track, and use tools to bring structure, clarity, and calm to a fast moving environment.

Responsibilities
• Own the CEO’s calendar, scheduling, and priorities across both professional and personal commitments, ensuring time is used intentionally.
• Manage communications and preparation, including drafting correspondence, organising context for meetings, and supporting decision making.
• Track action items, proactively follow up, and coordinate with internal and external stakeholders to keep momentum.
• Monitor relevant news, information, and updates, conduct light research as needed, and surface timely insights and summaries.
• Maintain organisation across systems and logistics, including Notion, CRM hygiene, travel planning, and ongoing process improvement using tools and AI.

Requirements
• 2+ years of experience supporting a senior leader in a high trust, fast moving environment, with ownership over priorities, coordination, and follow through.
• Exceptional organisational skills, strong judgment, and the ability to prioritise independently while moving quickly and accurately.
• Highly proactive and anticipatory, comfortable thinking several steps ahead rather than working reactively.
• Strong written and verbal communication skills, with confidence coordinating across internal and external stakeholders.
• Comfortable using modern tools and systems including calendars, email, documentation tools, and CRMs; experience with Notion and Pipedrive is a plus.
• Curious, systems minded, and eager to use AI and tools to improve efficiency and execution.
• Reliable, discreet, and calm under pressure, with a strong sense of ownership.

Location

This is a hybrid position based in Nairobi, Kenya.
