Role Description:
We are seeking a highly organized and proactive Executive Assistant to provide essential administrative, logistical, and coordination support to our key business teams across Johannesburg and Nairobi. This part-time role is central to ensuring smooth day-to-day operations, supporting leadership, and assisting the internal marketing team with event execution. The ideal candidate will be a master multitasker, thrive in a fast-paced environment, and serve as a reliable operational partner.
Key Responsibilities
Scheduling & Administrative Support
• Coordinate meetings across clients, talent, and internal teams.
• Manage complex calendars for leadership, prioritizing and resolving conflicts.
• Schedule across multiple time zones (Johannesburg, Nairobi, US, international).
Events & Meeting Support
• Provide logistical and administrative support for internal/external events, conferences, and workshops.
• Execute event logistics: venue liaison, catering, RSVPs, guest lists, attendee communications.
Travel & Logistics Coordination
• End-to-end coordination of domestic and international travel: flights, accommodation, transport, visas.
• Prepare detailed itineraries and ensure travelers are well-informed.
Office Coordination & Management
• Primary point of contact for office support in Johannesburg and Nairobi.
• Manage meeting room bookings and ensure readiness.
• Oversee office supplies, pantry stock, snacks, beverages; manage vendor orders and relationships.
Skills, Knowledge and Expertise
Qualifications:
• 3+ years as an Executive Assistant, Team Assistant, or similar administrative role.
• Experience in project-based, consulting, or professional services preferred.
• Prior administrative experience including event logistics, managing agendas, booking travel, and handling visa applications (preferred but not mandatory).
• Exceptional proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint).
• Experience with expense management software is a plus.

Working Arrangements
Location :- Preferred base in Johannesburg, South Africa or Nairobi, Kenya; remote acceptable (preference for CAT-friendly time zones)
Hours :- 20 hours/week (~4 hours/day)
