About the Human Resources and Administration Officer Role
The Human Resources and Administration Officer will provide day-to-day support to DOT’s HR and Administration function in Nairobi. The role focuses on onboarding, leave tracking, employee support, recruitment coordination, travel management, and general HR administration.
This is a full-time position within a collaborative international team, offering flexible working arrangements and opportunities for professional growth.
Key Responsibilities
Employee Onboarding & Records
• Support onboarding processes for new employees
• Collect and file employee documentation
• Coordinate HR orientation sessions
Leave (PTO) & Attendance Tracking
• Maintain accurate leave records
• Track leave requests and approvals
• Assist with leave applications and balance inquiries
• Prepare attendance and leave reports
Employee Support
• Act as first point of contact for HR and administrative queries in Africa
• Direct staff to policies and procedures
• Escalate complex issues to the Senior HR Manager
HR & Administrative Support
• Maintain confidential employee records
• Update HR databases and trackers
• Support performance review cycles
• Draft HR correspondence (letters, approvals, memos)
Recruitment & Training Support
• Assist with job postings and interview scheduling
• Coordinate trainings and staff meetings
Compliance & Office Administration
• Support alignment with employment legislation and policies
• Assist payroll preparation by updating employee data
• Provide general administrative and procurement support
Travel Management
• Coordinate travel logistics in line with policies
• Support visa processing and compliance requirements
• Arrange accommodations and transport
• Review travel expenses and manage approvals
• Ensure travel insurance and readiness
• Provide guidance on expense claims
• Prepare travel briefings and materials
Qualifications & Experience
• Resident of Nairobi, Kenya with legal right to work
• Bachelor’s degree (preferably in Human Resource Management)
• Membership with IHRM is an asset
• Minimum 2 years of relevant HR experience
• Strong organizational and administrative skills
• Attention to detail and ability to handle confidential information
• Proficiency in Google Suite, MS Word, Excel, and HRIS
• Experience supporting multi-country teams is an advantage
